Make responsibility visible before adding tools
A shared folder tells staff where files live; it does not tell them whether a file is ready or who must act next. Define a small set of operational states such as preparing, awaiting check, ready to send, delivered, and exception. These are proposed team labels, not a claim that QuickAttach implements a task-management system.
Assign one current owner to each deliverable. A small team can use the same person for several roles, but the handoff should still be explicit. Otherwise “I thought someone else sent it” remains possible even when all staff can see the order.
A preparation-to-support SOP
| Stage | Owner supplies | Exit condition |
|---|---|---|
| Preparation | Order, item, finished candidate, revision | Ready for content review |
| Checking | Identity, scope, quality, unresolved issues | Authorized to send or returned for correction |
| Sending | Selected item, current asset, message | Actual delivery action recorded |
| Support | Current version, access route, next owner | Question resolved or escalated |
A fictional team handoff
Demo order 5171 contains two custom reports. Production finishes the first report while the second awaits missing information. The checker releases only the first, and the sender records that partial delivery. Support can then explain which report is available without interpreting a vague order note saying “done.”
If the sender finds a mismatched revision, they return the task to preparation with a specific reason. They do not fix the filename and assume the contents are correct.
Use the delivery record within its limits
The QuickAttach workflow associates customer-specific assets with order items and provides the digital sending stage. It does not replace your production tracker, proof approval service, or staff permissions policy. Validate the access each colleague needs through the relevant Shopify and application settings rather than promising granular roles not documented by the app.
Weekly maintenance questions
- Does every pending deliverable have an owner?
- Can another colleague identify the current revision?
- Are holds explained with a next action and date?
- Are partial deliveries distinguishable from complete orders?
- Can support find the record without a personal inbox?
Start with a few fictional orders and rehearse a shift change. The process is ready for broader use when a second colleague can continue the work from the record, without needing the first person's memory.
