Plan Holiday Coverage for a Made-to-Order Digital Store

Before staff leave, assign coverage for preparation, checking, sending, and support. Publish realistic turnaround expectations and hand off every pending item with its next action and review date.

Plan around bottlenecks, not inbox access

A colleague who can answer email may not be able to finish a custom report or approve an artwork export. List the skills and access required at each stage. If no qualified cover exists, adjust the promised turnaround or pause the affected service through your normal store process.

Do not share personal credentials to create coverage. Arrange authorized access in the relevant systems before leave starts, and rehearse the work with synthetic data. An untested backup person is a plan on paper, not verified operational capacity.

A fictional holiday queue

Demo store “Paper Lantern Studio” has three custom orders pending before a closure. One is ready to send, one awaits customer feedback, and one has not started production. The handoff records separate next actions instead of promising that the backup operator can finish all three. The unfinished production job receives a realistic revised timeline through the approved customer communication process.

Pre-leave handoff checklist

Check time zones when recording deadlines. “Friday morning” is ambiguous for distributed staff and customers; use an explicit date and time zone where it matters.

Rehearse one absence

Ask the cover person to continue a fictional order using only the handoff. Verify they can locate the asset, understand the hold, and identify the correct delivery route. Record gaps and fix them before the leave period.

The QuickAttach workflow can keep the delivery associated with the order, but it does not staff your queue or promise automatic holiday reminders. Assign manual check-ins or use a separately verified scheduling system.

Deliver the right file with the right order
