Set the procedure’s scope
This template covers a finished customer-specific file or external link delivered against a Shopify order. It does not cover creating the professional content, obtaining legal approval, or manufacturing a physical product. Add the relevant separate procedures where your business needs them.
Assign a procedure owner and review date. Replace role names with your actual team responsibilities, and test the steps in a synthetic order before treating the document as operationally approved.

Required access and training:
1. SELECT ORDER
Confirm order, item, purchased scope, and any hold.
If order or authority is uncertain: stop and escalate.
2. PREPARE CANDIDATE
Obtain the finished asset and current revision.
If production is incomplete: retain pending status.
3. VERIFY
Compare order/item and actual content independently.
Check quality, package inventory, size, and access.
If any mismatch exists: return to the responsible owner.
4. CHOOSE DELIVERY
Use a verified upload or external destination.
Check recipient context, message, and fulfillment option.
For physical items: follow the separate logistics procedure.
5. SEND AND RECORD
Perform the authorized send.
Record observed event, asset revision, and pending items.
Do not record an intended action as completed.
6. SUPPORT
Verify current asset before any resend or replacement.
Escalate content, access, or scope issues to the named owner.
A fictional decision branch
For demo order 5176, the sender finds that the report is correct but the external link opens a working folder containing unrelated material. Step 3 fails. The sender does not proceed merely because the report itself is finished; the hosting owner creates and tests a proper destination before the procedure resumes.
Define evidence and exceptions
Keep a short record of the checks that matter: identity, revision, access, and actual delivery. Avoid making the SOP so long that staff complete it mechanically. For an exception, record the reason, owner, and next review date rather than leaving the order indefinitely in an unexplained hold.
Use the QuickAttach walkthrough to adapt the delivery step to the current interface, and support for uncertainties. Do not hard-code undocumented button names or assume a Shopify Flow integration enforces these decisions.
Approve through rehearsal
Have a trained colleague run the procedure on one clean case and one deliberate mismatch using fictional data. Record what they could not determine from the SOP. Revise those gaps before live use; this article supplies the template, not a claim that your procedure has passed testing.
