Record useful facts, not just “sent”
A useful record names the order item, file or package revision, actual action, and time. For partial deliveries, it also identifies what remains pending. If the asset is an external link, record the destination's title and version without copying secret or private access information into an inappropriate note.
Keep observed events separate from intentions. “Ready to send” is a production state; it is not evidence that a delivery occurred. “Customer says the link fails” is a reported problem; it is not yet a diagnosis of the cause.
Sanitized fictional event sequence
| Time | Event | Context |
|---|---|---|
| Monday 09:00 | Report v01 ready for checking | Demo order 5173, item A |
| Monday 10:00 | Checker requests page correction | Delivery held |
| Monday 11:30 | Report v02 released and delivery recorded | Item B remains pending |
| Tuesday 08:00 | Customer reports access issue | Support assigned to investigate |
These times and events are invented for illustration. In a real record, use the actual system timestamps and identify manual notes accurately.
Use internal notes appropriately
Shopify's Timeline documentation states that notes and comments are internal and not visible to customers. They can support staff context, but adding a note or attachment there is not the same as delivering a file to the buyer.
Keep notes concise and minimize sensitive information. A reference to an approved internal record may be safer than pasting a private document's contents into the order history.
What the record cannot prove
A send or download observation does not establish that the customer read, understood, accepted, or approved the file. It also does not certify the recipient's physical identity or resolve a dispute. Describe the event using the system's actual meaning.
Close the operational loop
- Record the current revision and why it changed.
- Identify pending items and the next owner.
- Preserve enough context to interpret earlier references.
- Check the current record before resending.
The QuickAttach workflow connects delivery with order context. Supplement its visible activity with your own appropriate operational notes where needed, without assuming the app retains every historical artifact or supplies a formal audit certification.
