Separate completion from readiness to support
Production may finish a file while delivery still awaits a check, approval, or customer information. Support needs that distinction. A handoff that says only “done” creates an avoidable promise risk: the next colleague may tell the customer the file is available when it has not been sent.
Give support a stable reference to the approved artifact and relevant record. Do not paste the whole customer brief or sensitive document content into the handoff. The aim is enough context to act, with access controlled through the appropriate systems.

Fictional completed handoff
Demo order 5175 contains a logo package. Production has finished v03, but the final archive has not passed the release check. The card says: “Production complete; delivery pending review. Support may confirm that the package is in final checking, but must not say it has been sent. Next action: release checker to reconcile archive and manifest.”
That note prevents a premature resend and gives support an honest response. After the check and actual send, the delivery state is updated with the observed event. Staff do not overwrite the earlier uncertainty as though it never existed.
Agree on ownership of exceptions
- Content questions return to the responsible producer.
- Missing files return to the package owner.
- Access problems go to the delivery or hosting owner.
- Commercial scope questions go to the authorized customer liaison.
The same colleague may hold several roles, but the handoff should identify the route. Otherwise support can spend more time forwarding the request than solving it.
Check the handoff with a second person
Ask a colleague unfamiliar with the order to identify what the buyer purchased, what is current, and what happens next. If they need an oral explanation, improve the card. This is a proposed training exercise, not a measured performance claim.
Use the QuickAttach order delivery record as the shared delivery reference. The handoff card is a team practice, not a native task assignment or approval feature of the app.
