Choose two independent checks
The first check is structural: order reference, purchased item, and expected deliverable. The second is inside the file: the subject, configuration, or other non-sensitive detail that should distinguish this order from nearby work. Reading the order number twice in the filename is not an independent check.
Use only the information necessary for matching. Do not add private details to filenames just to make checking easier. The person authorized to inspect the document should compare it within the approved production environment.

Complete the card immediately before the send, especially if several similar files have been handled since the last review. A check made before a file was replaced is no longer a check of the current attachment.
A fictional near miss
Demo orders 5172 and 5173 both request a custom desk layout. The candidate file for 5172 has the right filename, but its first page shows the configuration ordered under 5173. The checker stops the send and asks production to inspect the export process. Merely renaming the file would hide the problem.
The example shows why order-linked delivery helps organize context but cannot eliminate human matching errors. QuickAttach does not know whether the personalized content inside a PDF is correct.
Reduce interruptions around the final check
- Work from the selected order, not a customer name search alone.
- Open the exact candidate attached or linked for delivery.
- Check all items included in a partial or complete send.
- Confirm any external destination contains only the intended package.
- Restart the final check after changing an attachment or recipient context.
A second reviewer can be useful for especially consequential deliveries, but only if they inspect the content rather than approving the first person's checkbox.
Use a clear stop rule
If any identity, scope, or revision detail disagrees, hold delivery until it is resolved. Do not substitute a plausible file to clear the queue. The QuickAttach order workflow supplies the delivery context; your checklist supplies the content decision. This guide concerns prevention before sending, not incident response after an incorrect file has already been exposed.
