Run a Weekly Audit of Pending Digital Deliveries

Compare the production queue with order-level delivery records, then investigate missing, duplicate, and stale entries. Audit unresolved work as well as completed sends so forgotten orders do not disappear from view.

Define the population

Choose a clear period and include orders expected to require custom delivery. Keep legitimate holds and cancellations visible as separate categories rather than deleting them from the audit. The question is not “how many emails were sent?” but “does every expected deliverable have an explained state?”

For a small queue, inspect all open items. For a larger operation, inspect all overdue or exceptional items and a documented sample of apparently completed work. Record how the sample was chosen so the review is not limited to easy cases.

Fictional weekly reconciliation

These rows are synthetic. Multiple delivery events are not automatically mistakes; one may be a legitimate correction. Investigate before counting an exception.

Weekly checklist

  1. Freeze the review period and expected item list.
  2. Match each item to its order and current revision.
  3. Compare production state with actual recorded delivery activity.
  4. Identify overdue items, unexplained holds, and conflicting records.
  5. Assign one owner and next action to every gap.
  6. Carry unresolved gaps into the next review with their original age.

A queue entry saying “sent” should be reconciled with the actual delivery workflow. Conversely, an available attachment does not prove that the customer was notified.

Use findings to fix the process

If several ready items lack sends, inspect the handoff between checking and sending. If queue states lag behind deliveries, simplify the recording step. Do not respond to every discrepancy by adding another spreadsheet column without identifying its cause.

QuickAttach's order context and delivery activity can support this review. The audit described here is manual and does not claim an automatic report, reminder, or reconciliation feature. Keep only necessary order references in the audit record and avoid exporting customer documents for the sake of the review.
