Prepare a safe training kit
Create harmless files visibly labeled DEMO and controlled test orders. Use distinguishable content so an incorrect match is easy to detect. Avoid real customer records, private documents, or production recipients. The exercise should test judgment without risking an accidental live disclosure.
Provide the current SOP and explain where production, approval, delivery, and shipping responsibilities begin and end. Confirm the trainee has only the access appropriate for the exercise; do not assume the app offers its own granular training role.
Four exercises with deliberate faults
| Exercise | Fixture | Competent behavior |
|---|---|---|
| Clean delivery | Matching order and file | Completes checks and records actual send |
| Wrong contents | Correct filename, wrong demo configuration | Opens file, detects mismatch, holds send |
| Partial readiness | Two items, one unfinished | Identifies pending work and avoids misleading completion |
| External access failure | Destination inaccessible to test recipient | Escalates permissions issue instead of resending blindly |
A fictional assessment
Trainee A reviews demo order 5177. The file name matches, but page two carries a different item reference. Passing the exercise means stopping and documenting the mismatch, not finishing quickly. The trainer then asks what support could truthfully tell the customer while the file is corrected.
This is an example assessment design. No trainee performance or test result is asserted here.
Use observable pass criteria
- Selects the intended order and item without relying on a first name.
- Checks the actual file contents and current revision.
- Explains any fulfillment choice for a mixed order.
- Recognizes a hold and identifies the next owner.
- Distinguishes a recorded send from customer acceptance.
- Leaves enough context for another colleague to continue.
Give feedback on the missed decision, then repeat that scenario with a different fictional file. Repeating the same fixture can test memory rather than competence.
Move to live work deliberately
After the exercise, use supervised work appropriate to your risk and team structure. Keep a clear route for questions; asking for help on a mismatch is a desired behavior.
The QuickAttach walkthrough can support interface orientation, but reading it is not a substitute for demonstrating the workflow. Revisit training when product settings, staff responsibilities, or delivery types change.
