Give the proof one purpose
A proof asks the customer to check a defined set of details: wording, layout, placement, or selected artwork. State those details in the message. If a screen preview cannot represent the eventual material or finish, explain what it does represent. Avoid asking for a vague “looks good” response when production needs a decision about a specific revision.
Prepare the artwork in your design software. Export a review copy with the order reference, item, and revision visible inside the document as well as in its filename. Open that export before attaching it; an attractive filename cannot reveal an outdated page inside.
Separate delivery from the decision
The QuickAttach walkthrough describes attaching a customer-specific file or link and sending its delivery email. Use that path to distribute the proof. Use an agreed email reply or a dedicated approval service to capture the customer's decision. Do not describe downloading a proof as approving it, and do not assume the delivery app annotates artwork or enforces an approval gate.
Keep a short record linking the external decision to the exact proof. A reply saying “approved” is ambiguous if several revisions are in circulation. Ask for the revision reference whenever it is absent.
A fictional packaging review
Demo order 5131 contains artwork for a tea carton. The designer exports 5131-carton-proof-v02.pdf after correcting the ingredients panel. The delivery message asks the buyer to check spelling and logo placement and to reply “Approve carton v02” or list changes. Production remains on hold until a staff member records that response. If feedback requests a larger logo, the next proof becomes v03 and requires its own decision.
Copy this review handoff
| Stage | Record to keep | Next owner |
|---|---|---|
| Prepared | Order, item, proof revision, checks requested | Sender |
| Delivered | Delivery time and external feedback destination | Customer liaison |
| Decision received | Exact revision, response reference, date | Designer or production lead |
| Released | Human authorization and final asset reference | Production |
Before starting this workflow, decide who follows up on silence and who resolves contradictory feedback. Those are operational responsibilities. Set a manual review date rather than promising automatic reminders. Keep the final production file separate from the review export so a customer-facing preview never becomes the manufacturing input by accident.
