Send a Print Proof Before Producing a Physical Shopify Order

Treat a print proof as a pre-production message. Check the digital send settings so sharing the proof does not accidentally communicate that the physical product has shipped.

Map the promise before touching fulfillment

A print order usually includes several milestones: artwork review, authorization, manufacturing, and dispatch. Only the last milestone involves a parcel. A delivery email that says “your order is complete” when it contains a preview creates needless confusion even if the file is correct.

QuickAttach documents optional Shopify fulfillment alongside digital delivery. Before using it for proofs, inspect that option in your store and test its effect on a synthetic physical order. Do not assume that a proof send leaves every logistics setting untouched. Review any connected warehouse process that responds to fulfillment changes.

Use a four-stage release card

  1. Proof: export the review artwork, label it “for review,” and identify the physical item it describes.
  2. Approval: record the customer's response and exact revision in an external approval record.
  3. Production: a designated person releases the approved specification to the printer.
  4. Shipping: the logistics team records the actual parcel event through its normal shipping workflow.

A hold between the second and third stages is useful when approval arrives after a production cutoff. The customer's approval may be complete while the job still awaits the next manufacturing run. Your status language should express that distinction.

Fictional order: a personalized poster

Demo order 5132 is for one framed poster. The buyer receives 5132-poster-proof-v01.pdf on Tuesday. The message says the proof is ready for review and that printing has not begun. On Wednesday, the customer approves v01 by the agreed feedback channel. A staff member then releases the job. The parcel confirmation is sent only after the shipping team has a real dispatch record.

Pre-send check for the proof message

Rehearse the sequence before live use. Record the order status immediately before and after the proof send, then inspect any downstream queue. If the result differs from the intended separation, stop rollout and resolve it with your integration owners. The support page is the appropriate starting point for questions about QuickAttach fulfillment behavior; this checklist is a proposed verification procedure, not a report of a completed test.
