Handle Separate Proofs for Several Personalized Products

Create a proof record for each distinct product in the order. Match every delivery and external approval to its own item and version, so approval of one design cannot release another.

One order can contain several decisions

An order number identifies the purchase, but it does not necessarily identify the artwork being discussed. A buyer ordering a mug, a tote, and a notebook may approve the mug while asking for changes to the other two. A single “order approved” label erases that useful distinction.

Start with the actual Shopify line items and assign a short working reference to each design. Include the product variant when it changes the artwork. Do not assume that a quantity of three automatically creates three independent attachment slots or approval records; confirm the app's behavior and organize production outside it as needed.

A fictional item-and-proof matrix

Demo order 5137 contains three different personalized products. This matrix lives in the store's approved work tracker, while the proofs are delivered through their relevant order items.

ItemCurrent proofExternal decisionProduction
Mug, bluemug-v02Approved v02Eligible for release check
Tote, naturaltote-v01Change requestedHold
Notebook, A5notebook-v03Awaiting responseHold

The matrix distinguishes “approved” from “released.” A production lead may still need to check capacity, materials, or whether the customer expects all items together.

Make partial proof messages specific

QuickAttach documents partial and complete deliveries in its order delivery flow. Before using a partial send, verify which items the interface includes and how the message describes them. Tell the buyer exactly which proofs are ready and which are still being prepared.

For the example order, the message might say: “The tote v02 proof is now ready. The mug approval remains recorded against v02; the notebook still awaits your response to v03.” This is clearer than announcing that “your proofs are finished.”

Prevent cross-item approval

  1. Match the item reference in the filename and inside the proof.
  2. Ask the buyer to name both item and revision in feedback.
  3. Record each decision separately in the matrix.
  4. Resolve ambiguous replies before changing a production hold.
  5. Confirm whether a combined parcel must wait for all products.

If one proof link opens the wrong item's artwork, stop the workflow and correct the mapping before sending more files. The delivery record can support investigation, but it does not replace a design approval record or parcel tracking.

Deliver the right file with the right order
