Fulfillment edge case

How to handle unpaid Shopify orders before custom file delivery.

Do not create or send a customer-specific deliverable just because an order exists. Check the payment state first, then prepare and deliver the file from the correct paid order.

Custom-file businesses have a timing problem that standard digital products rarely face: the work may start after checkout, but checkout does not always mean payment is complete. A payment can be pending, an order can be authorised but not captured, or a manual payment can still be awaiting confirmation.

The safe answer is simple: treat payment confirmation as a gate. Keep the order visible for monitoring, but do not deliver a customer-specific file until the order is genuinely ready for fulfillment under your store’s payment process.

Why unpaid orders create unnecessary work.

If a team begins every report, certificate, proof, or reading as soon as a notification arrives, it can spend time on work that never becomes a completed sale. Worse, an early email attachment can make a customer think the order is fulfilled when the payment has not cleared.

Use a payment-aware delivery checklist.

  1. Find the order. Confirm the order number, customer, line item, and requested deliverable.
  2. Check the payment state. Distinguish a paid order from pending, authorised, failed, cancelled, or manually unpaid states according to your payment setup.
  3. Decide whether preparation can begin. For expensive or time-consuming work, wait until payment is confirmed. For low-cost automated preparation, you may prepare internally, but do not send the file yet.
  4. Keep the file matched. Name the draft with the order reference and keep it associated with that order rather than in a customer-only folder.
  5. Re-check before delivery. Confirm the payment state, customer details, final version, and intended line item immediately before attaching the file.
  6. Deliver only when ready. Attach the finished file or secure link to the paid order item and send the customer the delivery message.

Worked example: a personalised property report.

Imagine a store selling a property report prepared for one buyer. The order arrives with a pending payment status. The team records the order in its work queue, but does not send a report or download link. When the payment clears, the team confirms the order again, finishes the report, attaches it to that order, and delivers it.

If the payment fails instead, the store can close the work item without having sent a private document or confusing the customer. The order remains the reference point for the decision.

Why email folders are a weak payment gate.

Email is useful for notifications, but it is a poor system of record for custom delivery. A message may say “new order” without making the payment state obvious, and a file saved in a customer folder can be sent later without anyone checking which order it belongs to.

Product-level digital download apps have a different limitation: they are designed around a file that belongs to the product, not a deliverable that should wait for one specific order to become fulfillable. QuickAttach keeps the file or secure link tied to the relevant order item, so payment checking and delivery can happen in the same order-specific workflow.

For the broader setup, read how to deliver a file created after checkout. If the file is still being prepared after payment, see how to tell customers a custom file is still pending. For a final pre-send control, use the custom-file order audit checklist.

Keep payment and file delivery in the same workflow.
