Shopify order-specific file delivery checklist.

When every customer needs a different report, certificate, proof, or PDF, use this checklist to keep the deliverable matched to the order.

Order-specific delivery has one non-negotiable requirement: the file must stay connected to the Shopify order that produced it. A product-level download works when every buyer receives the same asset. It is the wrong model when the file is created or selected after checkout.

Use this checklist for personalized reports, readings, certificates, title documents, assessments, proofs, and made-to-order PDFs.

1. Confirm the order before creating the file.

Start with the order number, customer name, email address, and relevant product or line item. Compare the customer inputs with the order before opening your production workflow. Check whether one checkout contains several custom items.

2. Give every deliverable an unambiguous name.

A filename such as final.pdf is an accident waiting to happen. Include an order reference and useful description, while avoiding sensitive information in the filename. The name should help a teammate identify the file without guessing.

3. Match the file to the order item.

Before delivery, check the file against the exact order and line item it belongs to. A shared folder or email thread is not a reliable substitute for an order-linked record. Read how to manage made-to-order PDFs for multiple line items and how to prevent sending the wrong PDF.

4. Check the delivery state.

Separate pending, ready, and delivered work. Do not tell a customer a file is available until the correct file is attached and the delivery action is ready. If one item is finished first, follow a deliberate partial-delivery process.

5. Make the customer action obvious.

The delivery message should identify the order, say what is ready, provide one clear download action, and explain how to get help. See how to write a clear custom-file delivery email.

6. Keep a re-download path.

Customers lose emails and change devices. A useful workflow lets them reach the file from an order-linked page, so support does not have to resend attachments manually.

Where QuickAttach fits.

QuickAttach is being built for this workflow: attach a different file or secure link to the relevant Shopify order item, deliver it through a branded email when fulfillment is ready, and keep the customer download path associated with the order. It is now live on the Shopify App Store.
