Make the order structure visible
A multi-item order is easier to handle when the team can answer “which purchase does this file satisfy?” without opening every document. Product titles alone may be insufficient: two items can share a similar name but differ in size, format, or purpose.
QuickAttach documents different files or links per order item and partial or full delivery. Use that item association as the basis of your plan. Do not infer multiple attachments per item or one file per purchased unit from the phrase “per item.”
A fictional three-item manifest
| Order 4201 item | Quantity | Deliverable | Release state |
|---|---|---|---|
| Room plan, A4 | 1 | 4201-room-a4-v1.pdf | Reviewed |
| Color schedule | 1 | 4201-colors-v2.pdf | Review pending |
| Care reference | 2 | Packaging decision required | Hold |
The third row is intentionally unresolved. If the two units require different personalized references, the merchant must confirm a supported association or package before delivery. Labeling the row “quantity two” does not resolve that requirement.
Use the manifest at three checkpoints
- Before production: copy the current item identities and quantities, then define the output owed for each.
- Before upload: compare the completed files with that map. Recheck the live order for edits, cancellations, or changed variants.
- Before send: select only the reviewed deliverables included in this release, and separately review any fulfillment action.
Keep the exact release filenames in the internal record, but give customers understandable item labels. A buyer should see that the room plan is ready without learning your folder hierarchy or internal production codes.
Handle a mismatch as a decision, not an exception to ignore
If one purchased item produces several files, decide whether they form one combined document, an archive, or another supported destination. If a bundle appears as components, map to the actual order structure. If the app does not expose the structure you need, clarify it before taking that order format live.
In the fictional order, the merchant can evaluate sending the reviewed room plan while the color schedule remains pending. They should not call the whole order complete simply because one PDF is ready. The QuickAttach walkthrough provides the delivery sequence; the manifest supplies the business meaning behind each selection.
Finish by checking that the customer message names the delivered portion and that support can see what still needs work. This makes the same mapping useful to production, delivery, and customer support.
