Cancellation and file preparation can happen in different places
A producer may have a file ready in a work folder while support changes the order. If the delivery operator follows yesterday’s manifest, the canceled item can still be included by mistake. Reconcile the active order with the release list before selecting any files.
QuickAttach documents partial delivery and per-item files. This does not establish automatic deletion of canceled work, automatic updates to your project system, or removal of copies already downloaded by a customer. Treat each location as a separate check.
A cancellation reconciliation card
- Current order reference and canceled item identity.
- Whether the item was only planned, prepared, uploaded, or already delivered.
- Prepared file locations that need review.
- Pending send selections from which the item must be excluded.
- Remaining purchased items and their next actions.
- Person responsible for confirming the checklist is current.
The state matters. A file that has never left the production folder needs a different response from one the customer has already downloaded. Do not tell a customer that access has been revoked unless you have checked the actual delivery and storage behavior.
Fictional example: one of three items removed
Order 4208 contains a room plan, a materials list, and a lighting sketch. The lighting sketch is canceled before delivery. The designer has already exported its PDF, so the delivery operator marks that output “excluded from release” in the internal manifest and verifies that it is not part of a combined package.
The room plan and materials list remain valid purchases. The operator reviews them individually rather than canceling the entire production task. If the materials list refers to the removed lighting sketch, it needs a content review before release.
Check hidden inclusion points
| Location | Question |
|---|---|
| Combined archive | Does it still contain the canceled output? |
| External folder | Would the link expose it alongside remaining files? |
| Email draft | Does the message still promise the canceled item? |
| Production queue | Will another worker continue preparing it? |
Use the ordinary delivery workflow only after the release scope is current. Any file deletion should follow your store’s retention and recordkeeping process; this article is a delivery checklist, not advice on contractual or legal obligations. For uncertain app behavior, reproduce the scenario with harmless test files and ask support before relying on an assumed automatic action.
