Fulfillment edge case

How to deliver files for split Shopify orders.

When one order is fulfilled in stages, each customer-specific file still needs to stay matched to the correct order item and delivery status.

Use the original Shopify order as the delivery record, then mark each custom file separately as ready, delivered, or still pending. Do not create a loose folder or send every finished file in one email just because the order number is the same.

This matters when a customer buys several personalised reports, certificates, proofs, or documents and the files are created at different times. A split shipment or partial fulfilment can make the operational problem worse: the order exists, but the deliverables do not all become ready together.

Why split orders create file risk.

A manual workflow often treats the order as one yes-or-no task. That breaks when one line item is ready and another is not. Someone may send the first PDF, forget the second, or attach both files to an email without making clear which deliverable is complete.

A practical split-order workflow.

  1. Identify the order and line item. Confirm the customer, order number, product, and requested inputs before preparing the file.
  2. Prepare each deliverable independently. Use an order-first filename and keep unfinished items visibly pending.
  3. Attach the ready file or secure link to its order item. This avoids treating a multi-file order as one undifferentiated attachment.
  4. Send only what is ready. Tell the customer which file is available and what remains in preparation.
  5. Complete the remaining items later. Use the same order-linked record and send a follow-up when the next file is ready.

For the broader model, see how to handle partial file delivery on Shopify. If the order contains several custom PDFs, read how to manage made-to-order PDFs for multiple line items. The general principle is explained in how to keep a delivery record on the Shopify order.

Worked example: a three-document order.

A property-document store receives one order for a title document, a survey plan, and an ownership report. The title document is ready today; the other two require more processing. The merchant attaches the first file to its line item, sends a clear delivery email, and leaves the remaining two marked pending. When they are ready, each is delivered through the same order-linked workflow.

The customer gets useful progress without receiving a confusing folder of partial files. The merchant can answer “what has been sent?” from the order instead of reconstructing the answer from inbox and desktop folders.

Where QuickAttach fits.

QuickAttach is built for order-specific file delivery. It lets a merchant attach a different file or secure link to the relevant Shopify order item, deliver a branded download email when that item is ready, and keep the customer’s download path associated with the order.

That is a better fit than a product-level download app when the same product can produce a different file for every buyer. It also gives the team a clearer operating record than manual email attachments alone.

Deliver each ready file with the right order context.
