How to Attach a Customer File to a Shopify Order

To deliver a customer file from a Shopify order, use an order-specific delivery workflow and verify the recipient, item, and file before sending. A file attached to a Shopify Timeline comment is an internal record, not a customer download.

Start with the customer-facing destination

An order can hold internal information and still have nothing available for the buyer to download. Shopify explicitly describes Timeline comments and their attachments as internal communication. Use that surface to coordinate staff. Use a delivery app when your purpose is to give the buyer access to a completed file.

The QuickAttach walkthrough describes opening the app from an order, confirming the customer and template, attaching a file or link, sending the delivery email, and reviewing activity. Treat those as separate decisions. Uploading the right document is only one part of the job.

A practical order-to-file procedure

  1. Open the existing Shopify order and read its current items. Match the order number to your production record before selecting anything from your computer.
  2. Confirm the customer email and the particular item the deliverable belongs to. A familiar customer name is insufficient when that person has several orders.
  3. Open the finished file locally. Check its contents, revision, and visible customer reference. Close any draft that might be mistaken for the release copy.
  4. Open QuickAttach from the order and associate the file or external link with the appropriate item. The support page asks merchants to keep uploads under 100 MB and check external sharing permissions.
  5. Review the delivery selection and email. Decide whether the operation should also mark the relevant work fulfilled; file sending and fulfillment are separate operational questions.
  6. After sending, inspect the available activity record and verify the customer download path in a controlled test before relying on the workflow for live orders.

Example: one report, one order

In a fictional store, order 4101 contains a custom garden-layout report. The merchant finds both a draft and an approved PDF in the project folder. The release record identifies 4101-layout-v2.pdf; the merchant opens that file, checks the layout against the order, and attaches it to the report item. An internal note saying “reviewed” helps colleagues, but does not replace the delivery action.

Keep this release card beside the order

If any field is uncertain, resolve that field before sending. A customer-facing download is the outcome to verify; the presence of an attachment somewhere in the admin is not enough.
