Upload a Custom File After a Shopify Order Has Been Paid

A paid Shopify order can wait for a file that is produced later. When the file is ready, identify the existing order and item, review the final document, and deliver it through the order-specific workflow.

Payment is a starting point, not a finished document

A customer can pay for a personalized deliverable before the merchant has enough time or information to produce it. Keep the order in your production process until the file passes review. A paid status should never be treated as evidence that a PDF exists, is correct, or has been sent.

QuickAttach supports files and links associated with order items; its walkthrough describes a merchant selecting and sending that material. This guide does not assume automatic document generation or an automatic send on every payment.

Identify the release before opening the upload picker

Late uploads often happen after a designer has worked in several project folders. The risk is selecting the most recent file on the computer rather than the file approved for this order. Make the identity check independent of the file picker.

Work through the existing order

Open the order, inspect any changes since production began, and use the app’s order workflow to attach the file to the relevant item. Open the final file before sending; a successful upload does not inspect spelling, page order, or customer-specific content. Check file size against QuickAttach’s support guidance, which asks merchants to keep uploads under 100 MB.

Review the message as a release notification. “Your file is ready” is accurate only for what you are actually delivering. If another item is still in production, state that separately and choose the appropriate partial delivery scope.

Fictional example: a report finished the next morning

Order 4106 is paid on Monday and contains a custom lighting report. The merchant finishes it on Tuesday. Before uploading, they discover a Monday evening customer correction in their production record. They revise and recheck the PDF, then select 4106-lighting-v2.pdf for the report item.

The useful checkpoint was comparing the current order and inputs with the release copy. The merchant did not need to change the shared product or imply the file had existed at checkout. After sending, they inspect the delivery activity and keep the production task open if an access problem remains unresolved.
