Keep the evidence tied to the question
When a customer says “I haven't received my order,” first clarify whether they mean the file, the parcel, or both. Looking at only one system can produce a technically true but unhelpful reply. “It was downloaded” does not answer a missing-parcel question.
Likewise, a carrier delivery event says nothing about whether the buyer could open a custom PDF. Separate the two investigations and combine the findings only after each has been checked.
Event interpretation table
| Event | Useful inference | Does not establish |
|---|---|---|
| Digital send recorded | A delivery action was recorded | Customer read the message |
| Download activity recorded | The system recorded download activity | Identity, understanding, or parcel receipt |
| Shipping label created | A label exists in the shipping workflow | Carrier possession by itself |
| Carrier tracking update | Carrier reports a logistics event | Digital file access |
Interpret each event using the relevant system's definitions. Avoid turning an operational record into a broader legal or factual conclusion that it cannot support.
A fictional support conversation
Demo order 5157 contains a handmade frame and a digital artwork copy. The customer has downloaded the artwork but asks where the frame is. Support checks the physical shipping record and discovers that packing is still pending. The response explains the separate states instead of citing the download as completion of the entire purchase.
Your digital artwork is available through the order download path. The physical frame is still in our packing process. We are checking its dispatch timing and will update you through the shipping support route.
Use wording that matches the facts actually observed. Do not invent a carrier delay when the parcel has not yet been handed over.
Build a two-column support note
- Digital: file revision, delivery event, reported access problem, next action.
- Physical: packing state, carrier reference where available, reported parcel problem, next action.
QuickAttach documents download tracking and optional fulfillment in its delivery workflow. Test how those settings interact with your shipping setup, then train staff to consult the appropriate evidence. A single order number can remain the common reference without collapsing two different obligations into one status.
