Deliver a Custom Sizing Report Before Shipping a Product

Send the sizing report as a pre-shipping information step, identify the measurements and assumptions it uses, and state whether a customer response is required before dispatch.

Define the report’s role

A sizing report may summarize customer-provided measurements or show the selected dimensions for a made-to-order product. State what it does and who is responsible for checking it. Do not present a document delivery process as clinical assessment or a guarantee of fit.

Use the minimum information needed for the product decision. Store sensitive source information in the appropriate protected business system, and keep filenames focused on an order reference and revision. A visible filename does not need a person's measurements or other private details.

Fictional cover-size report

Demo order 5153 concerns a custom fabric cover for a storage box. The buyer supplies dimensions for the box; the maker prepares a report showing the chosen cover specification and any assumptions. This example concerns an object, not medical or body-fit advice.

Do not let delivery imply acceptance

If the customer needs to confirm the report, name the external reply channel and the exact revision. A download event does not establish that they checked the dimensions. Keep the shipping hold in the relevant operational system until a responsible person resolves the required response.

For the fictional order, the message could say: “The cover specification v02 is ready. Please confirm that it reflects the intended box before we release the item for dispatch. Reply with any correction through the agreed support channel.” Only use this wording if that hold exists in your actual process.

Before sending

  1. Compare the report with the order and approved source inputs.
  2. Label estimates and assumptions clearly.
  3. Open the exported file and verify its revision.
  4. Identify the response owner and shipping-release owner.
  5. Check digital fulfillment settings against the physical workflow.

The QuickAttach workflow distributes the prepared report. It does not take measurements, validate fit, collect formal approvals, or decide when a product should ship. Rehearse the handoff with fictional values before using real orders.
