Fulfillment edge case

How to deliver custom files for Shopify wholesale orders.

For a wholesale order, keep every customer-specific file matched to the order, line item, and intended recipient before you deliver anything.

Customer-specific document packets matched to separate Shopify orders

Wholesale orders often contain more than one deliverable: a batch of certificates, product proofs, audit reports, site plans, or documents for different locations. The payment may arrive as one Shopify order, but the files still need to be prepared and checked individually.

The reliable answer is to use the Shopify order as the control record, then map each file to its line item or clearly labelled recipient before sending. Do not rely on a shared wholesale inbox or one folder named only with the company name.

Why wholesale custom-file delivery is easy to get wrong.

A retail order usually has one obvious customer and one deliverable. A wholesale order may have several products, locations, contacts, or revisions. That creates predictable failure points:

Use this wholesale delivery checklist.

  1. Confirm the order. Record the Shopify order number, company, buyer, requested due date, and every purchased line item.
  2. Define the file map. For each item, write the location, project, recipient, deliverable type, and expected filename. If one item has several files, list them separately.
  3. Prepare files against the map. Keep drafts labelled with the order number and line-item or location identifier. A customer-name-only filename is not enough when one buyer has several sites.
  4. Check completeness. Mark each item as pending, ready for review, or ready to deliver. Do not send the whole order just because one file is finished.
  5. Review the final version. Check the recipient, address or project reference, file type, revision, and privacy-sensitive details.
  6. Attach and deliver from the order. Link each finished file or secure destination to the relevant Shopify order item, then send the buyer a delivery message that explains what is available.
  7. Keep the order as the record. Support should be able to see what was delivered and replace one revised file without rebuilding the whole delivery from email history.

Worked example: a builder ordering site documents.

Imagine a builder orders document packs for three developments in one Shopify checkout. The order contains three line items, each with a different site address. The team creates three PDFs and names them with the order number plus the site reference. Before delivery, they confirm that each PDF matches the correct line item and that all three are final.

The buyer receives one clear message with the three available deliverables. If the document for Site 2 later needs a revision, the team can replace that file in the order-specific workflow without accidentally resending Site 1 or Site 3.

What to do when only part of the order is ready.

Partial readiness is normal in wholesale work. If one file is complete and two are waiting for missing information, label the order state clearly and communicate what is ready. Deliver the completed file only when the buyer can understand that the remaining files are still pending.

This is safer than attaching a mixed batch to one email and asking the customer to remember which documents will arrive later. It also avoids marking the entire order complete when the work is not complete.

Why shared folders and generic download apps are not enough.

A folder can store the files, but it does not reliably preserve the relationship between a file, Shopify order, line item, recipient, and delivery state. Email adds another layer of searching and forwarding. Product-level digital download apps solve a different problem: delivering the same file associated with a product, not assembling a different file set for one wholesale order.

QuickAttach fits when the deliverables are created after checkout and vary by order. Attach the relevant file or secure link to the order item, deliver the ready files through a branded customer path, and keep the order context available for support.

For the line-item method, read how to manage made-to-order PDFs for multiple line items. If some files are not ready, see how to handle partial file delivery. For the final quality check, use the custom-file order audit checklist.
