Confirm the deadline before writing urgency
A reminder is useful only when its date describes the actual access path. File retention, app-link validity, and external-provider availability can differ. Do not derive a customer deadline from a general maximum retention statement without checking the specific file and delivery configuration.
QuickAttach’s listing describes limited retention rather than permanent hosting. This article supplies manual reminder copy; it does not claim QuickAttach automatically schedules expiry reminders.
A fictional reminder
Subject: Save your room-plan PDF before 30 November
Your room-plan download for order 4408 is scheduled to remain available until 30 November at 5 pm in our stated store time zone. Please download and save a copy before then if you want to keep it.
Open your room-plan download
If the link does not work, contact our store support with order 4408 before the deadline so we can check the access issue.
This date is fictional and must not be reused as a real promise. Use a precise time zone when the cutoff could otherwise be misunderstood. If only a date is known, resolve the cutoff policy rather than inventing a time.
A reminder eligibility checklist
- The file and order association are confirmed.
- The customer is the intended recipient.
- The stated deadline is verified for the actual download path.
- The file is still available when the reminder is sent.
- The message contains the supported retrieval route.
- A person owns any access issue raised before expiry.
- The store has a process for recording that the reminder was sent.
A reminder sent after the file is already unavailable creates an avoidable support problem. Test the link immediately before a manual reminder when practical, particularly if the destination is an external provider.
Do not promise recovery you cannot provide
“We can always restore it later” is a separate retention promise. Only offer recovery if the store has an approved copy and a defined process for using it. A customer’s saved copy is also separate from the app-hosted copy; deleting a hosted file does not erase copies already downloaded.
In the fictional example, the merchant maintains a small reminder register containing order reference, verified cutoff, planned send date, and completion status. That register is an operating recommendation, not an app feature.
Use the documented customer download path and consult support if expiry behavior is unclear. Clear dates and a real help route are more useful than repeated alarm language.
