Give the link a clear meaning
A frozen report answers “what was delivered for this order?” A living project document answers “what is current now?” Both can be useful, but confusion starts when a merchant promises one and maintains the other.
For a fixed delivery, create and retain a versioned export or other stable snapshot in your approved storage process. For a changing resource, keep a visible revision or update record and define who may edit it. Do not assume the hosting provider's history will always be available to the customer or retained indefinitely.
Mutability decision matrix
| Promise | Operational approach | Customer explanation |
|---|---|---|
| One completed report | Versioned delivered snapshot | This is the report for this order and period |
| Ongoing project workspace | Controlled living document | Contents may change; update rules are stated |
| Correction to an earlier file | New revision with change record | Identifies what replaces the earlier version |
| New paid period | Separate order-specific deliverable | Earlier period remains distinguishable |
A fictional consultant report
Demo order 5169 buys an April workspace review. The consultant initially considers linking the active working document, which will later contain May observations. That would blur the paid period. Instead, the April delivery uses a labeled snapshot while the working document remains an internal production resource.
If the purchase had explicitly included a living project plan, the different approach could be appropriate. The key is matching the destination's behavior to the offer rather than applying a universal rule.
Keep a delivery record
- Order and item reference.
- Destination host and responsible owner.
- Visible file or document title and revision.
- Whether the destination is fixed or expected to change.
- Change summary and customer notification when revised.
Test the actual provider's version and access behavior before relying on it. A link sent through the QuickAttach workflow does not freeze external contents, copy them into the app, or monitor edits.
When changing a delivered resource, consider a new notification with a concise explanation. Do not assume that the buyer will revisit the same URL and notice the difference. Preserve enough context for support to distinguish what existed at delivery from what exists today.
