Use the purchase as the assignment
Customer folders are useful for relationship context, but they can hide several distinct purchases. Open the specific order that created the new work. Confirm its item, options, instructions, and any reference to earlier work before selecting a candidate asset.
If the buyer asks for an exact duplicate of an earlier deliverable, record that scope explicitly. A duplicate request and a new customized output are different cases. Do not infer the former merely because the same SKU appears again.
A three-purchase rehearsal
Use one fictional buyer and three synthetic orders containing the same product. Give each brief an unmistakable difference so accidental reuse is visible.
| Order | Demo brief | Expected file |
|---|---|---|
| 5183-A | Blue layout | 5183-A-layout-v01.pdf |
| 5183-B | Green layout | 5183-B-layout-v01.pdf |
| 5183-C | Orange layout | 5183-C-layout-v01.pdf |
Attach and deliver each through the intended test workflow, then revisit all three order paths. Record whether each still presents the correct demonstration asset. This is a proposed test, not evidence that the behavior has been verified in your store.
Watch the external-link trap
A shared document named “current customer report” can change beneath earlier orders. If each purchase promises a distinct output, create a versioned destination or snapshot for that order. Keep the relationship to prior work in the internal record without making the old customer's download path point to unrelated new content.
Repeat-order release check
- New order reference selected.
- Current brief compared with previous work.
- New asset opened and checked, not just renamed.
- Order-specific destination or version identified.
- Message describes the new purchase rather than a resend.
The QuickAttach workflow supplies order-item context, but staff still need to match the contents correctly. It does not generate a new file from a repeat purchase.
If support receives a request for “my latest file,” ask which purchase or project the buyer means before responding. The newest timestamp is not always the deliverable they need, particularly when several projects are active at once.
Deliver the right file with the right order
