Separate report period from preparation date
A report prepared in May may describe April. If the filename contains only the export date, support and customers can misread it as the May report. State the coverage period explicitly on the document and keep the preparation date as a separate field where useful.
Define the period boundaries in the service specification. If data arrives late or the report is provisional, label that condition and explain the planned correction. Do not silently substitute last month's report to meet a delivery deadline.
Fictional client-period matrix
| Client label | Period | Order | Deliverable |
|---|---|---|---|
| Demo Studio A | April 2030 | 5182-A | April summary v01 |
| Demo Studio A | May 2030 | 5182-B | May summary pending |
| Demo Studio B | April 2030 | 5182-C | April summary v02, corrected |
The matrix demonstrates two different distinctions: a new period creates a new report, while a correction increments a revision within the same period. Keep both visible rather than calling every new export “latest.”
Review the report itself
- Coverage dates match the purchased service.
- Headings, charts, and appendices use the same period.
- Copied narrative does not refer to a previous month.
- Client-specific content belongs to the correct order.
- Any provisional inputs or limitations are stated.
Production and analytical validation happen in your reporting tools. QuickAttach does not calculate the report, assess its conclusions, or collect recurring charges.
Write a period-specific message
Your April 2030 report for order 5182-A is ready. The document covers the agreed April period and is labeled v01. If you need help with a figure or section, quote the page and report revision so we can investigate the correct version.
Use the order delivery workflow only after confirming the report is ready. If a separate subscription system generates the orders, check its state before preparing the next month. If purchases are manual, use the new paid order as the assignment reference instead.
Keep previous periods distinguishable in your approved archive. A customer returning to an older order should not unexpectedly receive the newest month's changing external document.
