Define the pack, not just the account
A business buyer may have several staff members, projects, and document requests. The task here is assembling the correct package for one purchase, not configuring a general wholesale or Shopify B2B workflow. List the agreed documents and their versions before choosing the delivery route.
Confirm the receiving contact through the established business process. An invoice contact is not automatically authorized to receive every operational document. Keep any sensitive material in appropriate protected systems and avoid putting private contents into order notes or public filenames.
Fictional document-pack manifest
Demo order 5185 is a non-sensitive branding handoff for the fictional “Cedar Workshop.” The package contains business-facing creative documents, not legal instruments or confidential customer records.
| Document | Version | Purpose | Release state |
|---|---|---|---|
| Brand overview | v03 | Summarizes approved visual direction | Checked |
| Asset inventory | v03 | Lists supplied creative outputs | Checked |
| Usage handoff note | v02 | References separately agreed scope | Awaiting owner review |
The different version numbers are acceptable when they reflect real document histories. The manifest makes that visible. The pack remains on hold until the required third document is reviewed, unless a partial package is explicitly agreed and clearly described.
Reconcile contents before packaging
- Compare the requested document list with the manifest.
- Open each final export and verify title, version, and project reference.
- Remove internal drafts and unrelated client material.
- Check cross-references between documents.
- Confirm the authorized destination and intended access.
- Create the package and inspect a fresh extracted or downloaded copy.
Cross-references deserve attention: a current overview can still point to an obsolete asset list if it was copied from an earlier release.
Deliver one understandable release
The message should identify the package, included scope, and any agreed exclusions. Use the QuickAttach file-or-link workflow after checking package size and access. This does not imply native Shopify B2B account controls, multiple-recipient routing, or automatic document generation.
For later corrections, update the manifest and explain the changed component. Support should be able to determine the release contents without reopening every historical email or assuming that the newest file in a shared folder belongs to this purchase.
