A queue needs more than an order number
An “unfulfilled” list can contain work waiting for inputs, work being designed, reviewed files awaiting release, and physical shipments. A custom-file production queue should expose the condition that prevents each order from moving forward.
Use a spreadsheet or an approved project system if that is what your team can maintain reliably. This article does not assume a QuickAttach production board or particular Shopify filter exists. Verify available filters in your own admin before writing a procedure around them.
A compact queue structure
| Field | Why it matters |
|---|---|
| Order and item reference | Connect work to the correct purchase |
| Due date | Reflect the promise made to the buyer |
| Stage | Separate intake, production, review, and delivery |
| Blocker | Name what prevents progress |
| Next action and owner | Make the queue actionable |
| Last customer update | Prevent silent delays and conflicting messages |
Store references to files rather than duplicating their contents in the queue. Include only the personal information necessary for staff to identify the work.
A fictional morning review
Order 4305 is five days old but lacks a required measurement. Order 4306 is two days old and due this afternoon; its final PDF has passed review. Order 4307 is due tomorrow and awaits a ten-minute quality check. The useful morning sequence is to release 4306, assign the review of 4307, and send the specific intake follow-up for 4305.
Sorting only by age would put 4305 first without making it producible. Ignoring age entirely would allow it to remain blocked indefinitely. Keep both due dates and aging visible.
Use these daily priority rules
- Identify overdue promises and assign a customer update.
- Release reviewed work whose delivery is due.
- Unblock review and production tasks approaching their deadlines.
- Follow up on missing inputs according to the store’s process.
- Check that every remaining row has a next action and owner.
At the end of the day, reconcile completed releases with the queue. QuickAttach documents delivery activity and download tracking, and the walkthrough includes reviewing activity. Use the available delivery evidence to update the operational record; do not remove a row just because someone uploaded a file.
A small, accurate queue is more useful than a detailed board nobody updates. Review the fields after a week and remove anything that does not help the team decide its next action.
