When Should You Mark a Custom Digital Shopify Order as Fulfilled?

Mark a custom digital order fulfilled according to the work your store has actually completed and the scope of the fulfillment action. Keep “ready,” “sent,” “downloaded,” and “fulfilled” distinct in staff procedures.

Four labels describe different events

A designer saying “done” may mean a PDF has been exported. A delivery operator may mean the email has been sent. A support agent may mean the customer has downloaded it. These statements should not be used interchangeably when deciding what Shopify should show.

StateWhat it can mean operationallyWhat it does not establish
ReadyA specific file passed reviewCustomer access or notification
SentA delivery action was performedInbox receipt or successful use
DownloadedA download event was recordedReading, acceptance, or identity certainty
FulfilledThe relevant Shopify fulfillment state changedQuality of every file in the order

Set a fulfillment rule for the product type

For a made-to-order digital product, a practical rule is to review the completed deliverable and release the intended item before treating its delivery work as complete. Apply that rule to the correct item scope. Mixed orders may contain unrelated physical or unfinished digital work that needs its own handling.

QuickAttach documents optional Shopify fulfillment alongside file delivery. Review that choice deliberately in the current interface. Do not assume that every send changes fulfillment, or that every fulfillment event sends the exact file you intended.

Fictional example: two reports at different stages

Order 4308 includes an equipment layout and a maintenance schedule. The layout is reviewed and ready to send; the schedule is still being prepared. The operator chooses the ready portion, checks the associated fulfillment scope, and keeps the schedule on the production queue. A later download event for the layout does not finish the schedule.

Waiting for a download event before ever completing the operational task can also be misleading: some buyers retrieve files later. Define the store’s rule explicitly rather than allowing each staff member to make a different assumption.

A pre-fulfillment check

Test these questions with a synthetic multi-item order and record observed status changes. The documented delivery sequence is a starting point, not a substitute for checking your store’s configuration. Keep download tracking as support evidence rather than a claim that the buyer has accepted the work.
