Choose representative demonstration files
Use three files you own with no customer information: a text-heavy PDF, an image-heavy PDF, and a representative media export. Label them as demonstration assets. Keep an untouched original of each so every candidate can be compared against the same baseline.
This article proposes an experiment; it does not supply measured before-and-after results or claim that any percentage reduction is achievable. Different source content and export settings produce different outcomes.
Write acceptance conditions first
For the text PDF, require complete readable text and working navigation. For the image PDF, define the intended viewing or printing context. For media, specify the receiving device and the customer's quality requirement. These conditions prevent a tiny but unusable export from being called a success.
Adobe's PDF optimizer guidance shows that optimization can affect images, fonts, and objects. Use only options you understand and recheck any functionality they could change. Media re-encoding belongs in the relevant production tools, not the delivery application.
Experiment worksheet
| Sample | Original bytes | Candidate bytes | Settings | Acceptance result |
|---|---|---|---|---|
| Text PDF | Measure | Measure | Record exact choices | Inspect text and links |
| Image PDF | Measure | Measure | Record exact choices | Inspect intended use |
| Media export | Measure | Measure | Record exact choices | Play on target device |
If useful, calculate reduction as (original bytes - candidate bytes) / original bytes × 100. Keep that figure beside the acceptance result, never in place of it. An increased size is a valid finding, not something to hide.
A fictional decision
For demo order 5168, suppose an optimized guide loses legibility in small diagram labels. Even if its size improves, the candidate fails the stated requirement. The merchant should revise the export settings or choose another delivery route rather than release it because the upload accepts it.
Stop when the purpose is preserved
Compare the accepted file with the under-100-MB guidance. If the correct asset remains too large, an externally hosted link may be appropriate. Keep the approved original and record the tested export settings so the next staff member can reproduce the result.
