Start with correctness before appearance
The most polished PDF is still wrong if it belongs to another order. Compare the order reference, item, and personalized content against the approved brief. Check both visible headings and less obvious places such as footers, cover pages, and copied appendices.
Next, confirm that the export is complete. Page count alone is not enough: two pages may have been duplicated while another was omitted. Scan the sequence and inspect sections that were changed late in production.
PDF release checklist
| Area | Check |
|---|---|
| Identity | Order, item, subject, and current revision agree |
| Pages | No missing, repeated, blank, or unintended pages |
| Text | Readable at intended size; no clipped or substituted characters |
| Images | Legible for the intended screen or print use |
| Navigation | Links and bookmarks lead to appropriate destinations |
| Interaction | Any promised form or other function still works |
| Delivery | Actual export fits the route and opens after download |
A fictional export issue
Demo order 5167 contains a six-page custom setup guide. The source document looks correct, but the exported PDF's final page clips a numbered instruction. The checker catches the problem by opening the export and reading the end of each page. The source is corrected and a fresh export is reviewed before delivery.
This example is hypothetical. It illustrates why a visual check should focus on the delivered artifact rather than a screenshot of the editing workspace.
Be careful when optimizing
Adobe's optimizer documentation describes settings that can change images, fonts, and document objects. Reducing size can therefore affect more than appearance. Keep the original, choose settings suited to the intended use, and repeat functional checks after optimization.
Measure the final file against QuickAttach's upload guidance. If the document cannot meet the limit without losing necessary quality, evaluate a suitable external link instead of damaging the deliverable.
Record a concise sign-off
Keep the order, filename, revision, checker, date, and unresolved issues in your operational record. A sign-off should describe checks actually performed. Do not label a PDF accessible, print-certified, or universally compatible based on this basic checklist alone.
