Stop the error from spreading
Assign one incident owner. Ask other staff not to resend, replace, or delete anything independently while the scope is being established. Preserve a factual internal record of the order, affected item, file reference, send time, and available activity. Do not copy the exposed content into general chat or tickets.
Check whether the wrong association affects one order or a shared destination. If the file is externally hosted, review its permissions at the provider. If app-hosted, confirm the available removal or access-control action before claiming access has ended. Neither action can recall copies that were already downloaded.
A first-response checklist
- Identify the intended and actual file using internal references.
- Confirm the affected recipient and whether other deliveries share that source.
- Stop pending sends that could repeat the error.
- Use the supported access-containment process and record its result.
- Escalate exposed information through the store’s established incident procedure.
- Have another person verify the corrected deliverable before sending it.
This is an operational sequence, not a determination of legal notification duties. Those decisions belong with the responsible people in your organization.
Example: two illustrations crossed
In a fictional shop, DEMO-469 received the artwork intended for DEMO-470. The incident owner checks both orders, because correcting only the first can leave a second mistake unresolved. The team records the two file references, contains the incorrect routes where possible, and independently checks each replacement.
A download event can help establish what the system recorded, but does not establish who physically opened the file or whether they retained it. Do not promise the other party’s copy has disappeared.
Communicate without repeating the exposure
We sent an incorrect file for order [reference]. Please stop using that download and delete any copy you saved. We are reviewing the delivery and will provide the verified replacement by [time]. Please reply through this support conversation if you need help.
Adapt the message to your incident process. Do not name another customer or describe their private content. If a replacement is ready, identify it clearly and explain which earlier file it supersedes.
QuickAttach associates deliverables with order items and records download activity. Use those records to support investigation, not to declare that an incident had no impact. Close the case only after the correction and required internal follow-up have owners and documented outcomes.
