A Replaced File Still Looks Outdated to the Customer

Compare the document’s visible revision with the intended revision before blaming caching. An old local copy, an unchanged upload, and an external link pointing to an old export can all look like the same problem.

Give versions a visible identity

Use a revision label inside the file as well as in its filename. A name such as DEMO-470-report-v2.pdf is useful, but the cover should also say “Revision 2” with a short change note. Otherwise a browser tab or downloaded filename can hide which content is actually open.

Ask the customer where they opened the file: an earlier email, the current delivery page, a browser tab, or a downloads folder. Do not ask them to clear all browser data as the first response. First check whether the merchant selected and delivered the intended file.

Trace the revision through four places

PlaceQuestion
Production sourceDoes the exported file contain the approved changes?
Order attachmentIs the current order item associated with that export?
External destinationDoes the URL open the new version for the intended user?
Customer deviceIs the buyer opening a fresh download or a saved older copy?

If an external link is used, inspect its exact destination. A new document in the same folder does not necessarily update an old link. Test as a non-owner with the intended permission level.

A two-file diagnostic protocol

Create two synthetic PDFs: version 1 has a large blue “V1” on the first page; version 2 has an orange “V2.” Deliver V1 to a test order, then follow your store’s supported replacement process with V2. Check the newest email, the order page, and the previous message separately. Record which version each route opens and whether a fresh download differs from an existing local copy.

This is a test you can run, not an assertion that every earlier link updates automatically. QuickAttach’s walkthrough documents order-linked delivery, but it should not be treated as a full version-control specification.

Tell the customer what changed

The current file is Revision 2, identified on the first page. Please use the latest delivery message and save it as a new copy. Revision 2 corrects [specific change]. If you still see Revision 1, tell us which route you opened.

Keep the previous version reference internally until the investigation is complete. A deliberate replacement should be documented separately from a stale-copy diagnosis so staff can tell whether the update happened or is still pending.
