Availability is part of the delivery promise
A customer may return months after receiving a personalized file. If the original message said nothing about availability, they may reasonably be unsure whether the download should still work. State the policy clearly before it becomes a support issue.
QuickAttach’s listing describes retention of up to 365 days. “Up to” is not a promise that every file remains available for exactly that period. Confirm the actual configuration and any deletion or external-provider conditions before giving a date to a buyer.
An availability-copy worksheet
- Which deliverable and customer route does the statement cover?
- What verified date or duration applies?
- When does that duration begin?
- Can earlier deletion or provider access changes affect it?
- What should the customer do to keep a copy?
- What support or recovery option can the business actually offer?
If you cannot answer the start-date question, avoid calculating a precise cutoff from a general retention number. Ask support to clarify the applicable behavior.
Fictional customer wording
Your room-plan PDF will be available through this download until the confirmed date shown in your delivery message. Please save a copy before that date if you want to keep it. If you have an access problem, contact our store support with your order number while the download is available.
This template assumes the delivery message actually contains a confirmed date. For fictional order 4509, the merchant fills that date from the verified file record rather than using the app’s maximum advertised retention. The example is not a guarantee about any live order.
Keep the same promise across surfaces
| Surface | What to align |
|---|---|
| Product page | General access and saving expectations |
| Delivery email | Specific file availability where known |
| Customer help page | How to retrieve and save a copy |
| Support procedure | What can happen after access ends |
Do not say “always recoverable” unless the business has a reliable, approved recovery process that supports that promise. A retained production copy is separate from the live delivery path, and an external link depends on its provider.
The QuickAttach walkthrough describes a customer return path, but a return path is useful only while the relevant file and access conditions remain available. Clear expectations help customers use that period without implying permanent hosting.
