Deliver a Pre-Generated Invoice PDF Through a Shopify Order

Generate and approve the invoice in the appropriate external system, then deliver its finalized PDF against the correct Shopify order. QuickAttach distributes a file; it does not issue tax invoices or determine their validity.

Keep one authoritative issuing system

The invoice number, amounts, dates, and required content should come from the organization’s approved invoicing process. Do not recreate those fields manually in a delivery email or modify a PDF in support to resolve a mismatch.

Confirm whether the buyer needs an invoice, a receipt, or another document. Those labels can have different meanings, and a file-delivery app should not decide which one is required.

No real amounts, tax identifiers, or customer details are needed to test this handoff. Use a sample visibly marked as non-valid.

A release checklist

  1. Confirm the document came from the approved issuing system.
  2. Match the invoice reference to the intended order.
  3. Verify that the export is complete and readable.
  4. Check whether a correction or replacement has already been issued.
  5. Confirm the authorized recipient.
  6. Record the delivered document reference without duplicating sensitive content.

If an invoice covers several orders or one order requires several accounting documents, resolve that mapping with the issuing owner. Do not force an inaccurate one-to-one relationship simply because it is easier to attach a file.

Deliver without changing accounting meaning

QuickAttach’s workflow can associate a prepared file or link with an order item. The delivery action should not be treated as payment confirmation, invoice issuance, or a change to accounting records.

Shopify warns against public Files storage for personal and confidential documents. Use an assessed route for customer-specific invoices and keep private references out of screenshots.

A short message can state that the approved document is available and provide the appropriate billing-contact route. If the buyer requests a correction, return the request to the issuing system. Deliver the approved replacement only after its status is clear, and explain which previous document it supersedes without offering tax or legal advice.
