Identify the correction before editing anything
A spelling issue, an incorrect date, and a change in entitlement require different review. Support should capture the request and route it to the issuer rather than deciding how the certificate should change.
Keep the original document reference and order context. If the issuer assigns a new reference to the correction, record that relationship rather than inventing a numbering scheme in the delivery process.
A fictional correction card
Order: DEMO-508 Original: SAMPLE-CERT-008, revision 1 Replacement: SAMPLE-CERT-008, revision 2 Reason: Demonstration spelling correction Approved by: Assigned issuer Customer action: Use revision 2 instead of revision 1 Sample status: Demonstration only; not a valid certificate
The card illustrates a handoff, not a rule for how every issuer numbers corrected documents. Follow the actual issuer’s procedure.
Review the replacement as a whole
- Confirm the requested correction was approved.
- Inspect the corrected field in the exported PDF.
- Check that unrelated fields did not change accidentally.
- Verify the revision or replacement identifier.
- Match the file to the original order and item.
- Test the current customer route before sending.
Use a second-person check for sensitive documents where your process requires it. A filename ending in “corrected” is not sufficient evidence that the right field changed.
A replacement message template
The approved replacement for your document in order [reference] is ready. It is identified as [revision/reference] and replaces [earlier revision/reference]. Please use the replacement for future reference. If you still see the earlier version, contact us through [support route].
Do not expose personal correction details in the email subject. Do not claim that downloaded earlier copies have been recalled or invalidated by the delivery app.
Preserve the issuer’s meaning
QuickAttach supports order-specific delivery; it does not determine legal validity or automatically manage a certificate registry. Check how the current delivery route handles earlier links rather than assuming replacement updates every message.
For personal documents, avoid public storefront storage in line with Shopify’s Files guidance. Keep an approved source and correction record in the organization’s controlled process. Close the support case when the buyer has a clear route to the approved replacement and the issuer’s follow-up, if any, has an owner.
