Confirm the destination and identity
First reproduce the visible failure without collecting private content. Is the browser on Google Drive, or is the customer still on an app download page? Ask which account they are using in broad terms and verify it through your support process before granting access. The checkout email and the Google identity can differ.
Google documents restricted sharing, recipient roles, and organizational limits. A work or school account may restrict external sharing. Permissions inherited from a parent folder also matter. Opening a file while signed in as its owner proves very little about the buyer’s experience.
Choose the intended access policy
For a recipient-restricted file, add only the authorized identity and select the appropriate role. A buyer who only needs the finished report generally does not need editing rights. Check download permissions if the purchase promises a downloadable copy.
Do not turn on access for anyone with the link merely to clear an error. That changes who can access the material. If organizational policy blocks the intended arrangement, ask the account administrator or use another approved delivery route. Moving the file into a broadly shared folder can also change access in unexpected ways.
A synthetic access test
- Create a harmless PDF labeled DEMO-463; include no customer information.
- Share it with a separate test identity using the intended role.
- Open the exact customer-facing URL in that identity’s browser session.
- Confirm that viewing and, if promised, downloading work.
- Try an unauthorized identity and record the observed result.
- Repeat after moving or replacing the file if that is part of your workflow.
This is a proposed test protocol, not a report of completed testing. Record date, identity role, destination, action, and result. A sanitized screenshot should omit email addresses and private link tokens.
Example: the wrong signed-in account
A fictional buyer purchased a review through one address but opened Drive using their employer’s account. The merchant checks which identity was authorized and guides the buyer to that account. If access still fails, the next investigation is permission scope, not another email send.
QuickAttach can associate an external link with an order item. Google remains responsible for access at that destination. Keep the verified URL and permission owner in your operational record so the next support agent can identify which system needs attention.
