Find what expired
Record the exact error and where it appears. The delivery link may have expired, the external provider may have ended access, or the underlying file may have been removed. An old email alone cannot tell you which event occurred.
QuickAttach’s listing describes retention up to 365 days. That is not a promise of permanent availability. Do not calculate entitlement solely from that maximum: check the actual delivery, deletion history, and your store’s stated access terms. A retained source copy and an active customer link are separate assets.
Use this recovery tree
- Original exists and access remains authorized: verify its version, then use the supported delivery process to provide renewed access.
- Original exists but entitlement is unclear: pause and ask the responsible staff member to review the order and access terms.
- Original is absent from the app but retained elsewhere: retrieve the approved copy, review it, and attach it through a fresh authorized workflow.
- No approved original exists: explain the situation and assess recreation or another remedy through your store’s support process.
Do not promise that resending the same email necessarily refreshes the underlying link. Verify what the current app action does in your store. For external files, the provider’s permissions and deletion rules still control the destination.
Example: recoverable source, stale message
A fictional buyer requests DEMO-465 several months after delivery. The customer-facing route no longer works, but the merchant retains the approved report in its controlled archive. Support checks the order, confirms the intended revision, restores a tested route, and explains its availability. It does not casually send the first PDF found in a folder.
A recovery note worth keeping
Order: [reference]. Item: [deliverable]. Reported error: [exact text]. Source located: [approved storage reference]. Version checked: [revision]. Requester verified by: [process]. Recovery action: [action]. Access checked: [time]. Customer update: [time].
Keep credentials and access tokens out of the note. Retain only the information your team needs to identify the file and action.
When recreation is necessary, give a realistic timeline rather than implying a download can be restored immediately. When recovery succeeds, tell the buyer which message to use and how to save a copy if appropriate. The goal is reliable access to the right version, not simply making an expired warning disappear.
