Find the triggers before disabling anything
A message may be sent by the delivery app, a fulfillment action, another automation, or a staff member working from a shared inbox. Inventory the actual store configuration rather than assuming that uninstalling one app removes every notification path.
Shopify Digital Products documents fulfillment settings and resend controls. Other tools have their own triggers. Record the current behavior for each system; similar labels can conceal different actions.
A notification ownership sheet
| Event | Current owner | Cutover decision |
|---|---|---|
| Purchase confirmation | Store configuration | Keep expected purchase receipt. |
| Custom file ready | Old delivery route | Assign new route after pilot passes. |
| Fulfillment update | Configured fulfillment process | Verify whether another message is sent. |
| Historical file moved | Migration operator | Do not notify unless deliberately planned. |
| Support resend | Named support owner | Check prior activity before retrying. |
Rehearse the sequence with synthetic orders
- Place a demo purchase under the existing setup and record its messages.
- Configure the proposed delivery route for a controlled test.
- Attach a demo file and perform the intended send action.
- Inspect messages and fulfillment changes.
- Test a historical-file transfer without an intended new notification.
- Restore the previous configuration if an unexpected send occurs.
This is a rehearsal plan, not proof that any particular toggle suppresses email. Confirm controls in the current app before using them on live orders.
A fictional cutover
Studio Moss chooses 10:00 as its new-order boundary. A staff member owns deliveries after that time; another continues old pending work using the migration register. When DEMO-487 is completed, only the assigned owner sends it. The old inbox task is marked handled so a colleague does not send an attachment later.
QuickAttach documents delivery messages and optional fulfillment. Check those choices separately during your pilot. Do not assume attaching a file, sending a file, and fulfilling an order are interchangeable.
After cutover, inspect the first live batch and compare actual message counts with intended sends. If duplicates appear, pause the affected trigger, preserve the record, and explain any confusing message to the buyer. Avoid solving a duplicate by deleting the evidence needed to diagnose it.
Deliver the right file with the right order
