Set Up a Second-Person Check for Sensitive Document Delivery

Have a second authorized person compare the selected file, order item, and recipient before sending. This is a human control; do not assume QuickAttach provides a built-in approval gate.

Give the reviewer a concrete task

“Please check this” is too vague. The reviewer should open the actual customer-ready file and verify the approved reference, revision, order association, and destination. They should know which source record establishes the correct relationship.

Keep substantive professional approval separate from delivery approval. A reviewer may be able to confirm that the right document is selected without being qualified to assess its technical or legal contents.

A two-person release card

Order/item: DEMO-510 / sample document
Approved source reference: SAMPLE-DOC-510-R2
Preparer: [authorized role]
Reviewer: [different authorized role]
Checks: file identity / revision / order item / recipient / route
Result: approved for delivery OR held
Reason for hold: [specific discrepancy]
Review time: [timestamp]
Sent by and time: [completed after delivery]

Use internal references rather than placing sensitive document content in the card. The example is synthetic and does not represent a real approval.

Define stop conditions

If the file or destination changes after review, repeat the relevant check. A prior approval should not silently carry over to a different export or a broader folder permission.

A fictional near miss

The preparer for DEMO-510 selects a PDF whose filename is correct, but its first page displays another sample reference. The reviewer holds delivery and asks the source owner for the approved export. The process catches the mismatch because it checks content identity, not because two people clicked the same button.

This is an illustrative scenario, not a claim that a measured incident was prevented.

Keep the control practical

QuickAttach’s documented sequence provides the delivery action after selection. Place your human release check immediately before that action and record it in the approved operational system. Do not advertise an app-enforced approval workflow unless it has been verified separately.

Shopify advises against placing confidential files in public Content > Files storage. The reviewer should also check that the chosen route is appropriate, not merely that the filename matches.

Review recurring holds periodically. If reviewers repeatedly find unclear revisions, improve the production handoff. A second-person check is most useful when it has a defined purpose and evidence, rather than becoming a ceremonial signature.
