Start with where the copies live
Removing a person from one application does not establish that they cannot access a document through a shared folder or downloaded copy. Inventory the locations used by production, delivery, and support, then identify who can open or manage files in each.
This is an operational access review, not a claim that QuickAttach has its own granular role system. Its published delivery features do not establish every permission control. Verify actual capabilities in each part of your stack.
An access-review worksheet
| System or location | Access to record | Question |
|---|---|---|
| Shopify admin | Users and applicable permissions | Who needs order context? |
| Delivery app | Effective viewing and action access | Who can select or send customer files? |
| Production storage | Folder members and inherited access | Who needs drafts and final outputs? |
| External delivery provider | Owners, editors, viewers, sharing | Who can broaden access? |
| Support system | Attachments and internal notes | Are unnecessary copies accumulating? |
Record the responsible owner and the date reviewed. Do not place passwords or access tokens in the worksheet.
Fictional example: a temporary designer
A fictional store gives a contractor access to the project folder for order 4607. After the work ends, the manager removes the contractor from the production folder but also checks whether the person remains a member of a broader shared folder, a support workspace, or the store admin. The review follows actual access routes instead of assuming that the contract end date changed them automatically.
For Google Drive, official sharing documentation explains permission roles and folder-related access. Inspect effective permissions at the relevant level; a file’s location can matter.
Use task-based access questions
- Does this person need to see the document or only its production status?
- Do they need editing or sharing authority?
- Can a narrower location support the task?
- Who reviews access when a role changes?
- What happens to approved local working copies?
- Can a synthetic test confirm the expected access after a change?
Make changes through the system’s supported administrative controls and verify the result without using live private documents as test fixtures. Document any limitation that prevents the desired separation.
For app-specific uncertainty, ask QuickAttach support which controls apply. Do not advertise role isolation or compliance based on an assumption about how Shopify permissions extend into an app.
