Move from a Spreadsheet Delivery Tracker to Shopify Order Records

Map each spreadsheet column to an explicit operational meaning before retiring the tracker. “Done” must be split into prepared, delivered, and accessible if staff currently use it for all three.

Read the spreadsheet as a process

Ask the people using the tracker what its colors, abbreviations, and blank cells mean. A green row might mean the writer finished, the manager approved, or the email was sent. Those meanings cannot safely become one app status without clarification.

Keep a read-only snapshot in an approved internal location before changing the working process. Do not copy customer content into new tools unnecessarily. Preserve enough history to explain unresolved orders and prior sends.

Some fields may stay in a production tool. QuickAttach is a delivery app; do not assume it replaces project management, approvals, or every custom spreadsheet column.

A fictional ambiguous row

DEMO-489 is green and marked “done,” but its sent-date cell is blank. The writer confirms the report was approved yesterday. Support finds no delivery record. The migration owner classifies it as ready to deliver, not historically delivered. Another row has a sent date but no recoverable source and enters the exception queue.

Resolving these differences before moving the tracker prevents the new interface from giving false confidence.

Retire the tracker in stages

  1. Define each state in plain language.
  2. Verify order-item associations for a small batch.
  3. Move approved deliverables through the documented process.
  4. Have support locate status without the editable spreadsheet.
  5. Freeze completed rows and keep unresolved exceptions owned.

QuickAttach’s walkthrough describes attaching and delivering from an order. No spreadsheet importer is assumed. Manual mapping may be the appropriate first step even if a future supported migration tool becomes available.

Choose a cutover time after which new delivery work is recorded in one primary place. Maintaining two editable trackers indefinitely invites disagreement. Keep the historical snapshot for reference while making the current owner and current workflow unmistakable.
