Use the renewal order as the reference
A recurring customer can have several purchases for the same service. Customer identity and product name alone cannot distinguish the April reading from the May reading. Keep the renewal order, service period, and production reference together.
Verify the renewal’s actual status through the store’s established process before beginning or releasing work. Pauses, cancellations, failed payments, and changed service terms belong to the subscription workflow, not an assumed delivery-app feature.
A fictional three-renewal calendar
| Renewal order | Edition | Prepared file | Delivery state |
|---|---|---|---|
| DEMO-517A | April reflection | 517A-April-R1.pdf | Delivered |
| DEMO-517B | May reflection | 517B-May-R1.pdf | In review |
| DEMO-517C | June reflection | Not prepared | Future task only if renewal occurs |
The example is a planning calendar, not evidence that future orders or files are generated automatically. Do not attach April’s file to May simply because it is the latest finished PDF in the folder.
A per-renewal release check
- Confirm the actual renewal order and purchased service.
- Verify the intended edition or service period.
- Match the new file to its production reference.
- Inspect the report for stale month labels or copied content.
- Confirm the authorized recipient and delivery route.
- Record the completed send against that renewal.
If the customer changes their requested format, resolve that in the service process before preparing the next edition. Do not infer that a change to one historical file updates future purchases.
Label the customer message clearly
QuickAttach documents per-item files and branded delivery. A message such as “Your May reflection for order [reference] is ready” gives the buyer a useful distinction among recurring messages. Keep personal prompts out of the subject line.
Tell customers how access to earlier editions works under your actual retention policy. A continuing subscription does not automatically mean earlier files remain available forever. If an old route fails, recover from an approved source and verified order rather than sending the newest edition as a substitute.
Test one renewal, one pause, and one correction with synthetic records before relying on the recurring operating process. The test should confirm the boundaries between billing, production, and delivery.
