Define the release scope
A store can launch one tested workflow before adopting every possible use case. Write which products, file types, customer surfaces, and staff roles are included. If large videos or mixed physical orders remain untested, do not treat them as covered by a successful PDF send.
Use your actual acceptance criteria and evidence. This checklist is a release aid, not a statement that a particular store has been tested or approved.
Go-live checklist
| Area | Acceptance question | Owner |
|---|---|---|
| Order matching | Can staff identify the right item and file contents? | Operations |
| Delivery | Do tested uploads or links open for the intended recipient? | Sender |
| Messages | Are subject, action, status, and help route clear? | Customer experience |
| Customer pages | Are required supported surfaces active and verified? | Store administrator |
| Fulfillment | Are physical-order effects understood? | Logistics owner |
| Costs and storage | Are current terms and expected use accepted? | Account owner |
| Support | Can another colleague find the current revision? | Support lead |
A fictional staged launch
Demo store “Pine Desk Studio” first enables delivery for one custom PDF service. Its media packages remain outside the initial scope because external-host access has not yet been tested. The release owner records that limitation and assigns the next test rather than labeling the entire store “fully verified.”
Prepare the fallback
Decide who investigates a failed send, who communicates with the customer, and which alternative delivery route is approved. The fallback still needs identity, content, and access checks. Do not improvise by uploading a private document to a public location simply to clear the queue.
- Keep the approved master accessible to authorized staff.
- Record the failure and avoid uncontrolled repeated sends.
- Use a verified alternative only within the purchased scope.
- Update the order record after the actual resolution.
Make the release decision explicit
Record the date, included workflows, evidence references, known limitations, and person authorizing launch. Review the first live cases according to your operational needs, without claiming that monitoring guarantees error-free delivery.
Use the QuickAttach walkthrough for the normal path and support for unresolved product behavior. Current pricing, retention, and upload terms should be checked before approval, not inferred from an old test note.
